1. Introduction

Cattaraugus County Department of Economic Development, Planning & Tourism is seeking proposals from qualified videographers to create a high-quality promotional video showcasing summer tourism experiences in the Enchanted Mountains (Cattaraugus County). The final product will highlight summer activities, scenic landscapes, and summer events options to inspire visitors to choose our area as a premier summer getaway destination.

2. Project Overview

• Project Title: Summer in the Enchanted Mountains
• Filming Period: June 1st, 2026 to August 14th, 2026, ideally during peak summer conditions.
• Locations: Regional attractions where tourists are welcome to participate in summer tourism activities and that showcase summer beauty in Cattaraugus County. 
• Deliverables:
  • (1) 2 minute promotional highlight reel for web and social media.
  • (5) 30-second cutdowns optimized for social channels.
  • (1) Extended 3–5 minute feature video for tourism promotion.
  • Raw footage for future use. 
• Target Audience: Leisure travelers, families, outdoor enthusiasts, and couples looking for summer escapes.

3. Scope of Work

The selected videographer will be responsible for:

1. Pre-Production
   • Collaborating with Enchanted Mountains to establish a visual style and story flow.
   • Planning shot lists around summer activities, events, and scenic landscapes.
2. Production
   • On-location filming of:
     • Summer Activities: hiking, horseback riding, mountain biking and cycling, boating, paddling, fishing, Amish Trail, motorcycling, camping and events.
     • Scenic & Lifestyle Shots: summer forests, mountain views, families enjoying summer activities, couples experiencing summer activities.
   • Drone video a bonus but not required.
3. Post-Production
   • Editing to create multiple deliverables (see deliverables above) with engaging pacing, music, and branding.
   • Integration of logos, titles, and taglines provided by Enchanted Mountains.
   • Delivery of all videos in formats optimized for web, social, and presentation use.
   • Model Releases: Model releases must be included for any identifiable models. 

4. Proposal Requirements

Proposals should include:

• Company/individual name and contact information.
• Portfolio showcasing outdoor, tourism, or lifestyle videography.
• Proposed creative approach for highlighting summer tourism.
• Itemized budget, including filming, editing, travel, drone usage, and optional services.
• Project timeline from start to final delivery.
• References from similar work.

5. Evaluation Criteria

Submissions will be evaluated on:

• Quality and creativity of previous work.
• Demonstrated experience with tourism or outdoor videography.
• Cost-effectiveness.
• Ability to deliver on schedule.
• References and testimonials.

6. Budget

The budget for this project may not exceed $10,000. Please provide an itemized cost proposal with optional add-ons clearly noted.

7. Timeline

• RFP issued: 2026-02-06
• Proposals due: 2026-03-06 at 1pm
• Vendor selection: 2026-03-09
• Filming window: 2026-06-01 to 2026-08-14
• Final deliverables due: 2026-11-01
